Job Description

Responsible to ensure contractors, vendors and SMG Development goals are fulfilling all obligations and that work is carried out in accordance with approved contracts, specifications and schedule. 

Serves as a liaison with the project managers, materials purchasing and contractors, reporting on biding, qualifying vendors and contractors, issuing purchase orders, coordinating deliveries, completing paperwork and tracking overall project progress and delays.

Proactively identifies and works to resolve any issues that would impede the project delivery.

Provides technical knowledge related to SMG processes and procedures to assist vendors and contractors in the delivery of their services and goods.

Continually strive to improve the overall standards and consistency of the SMG brand within sensible process guidelines and expectations.


  • Support Development Team, including Project Managers, Concept Architects, Purchasing Managers and Facilities Team
  • Prepare bid packages for new and remodel projects.
  • Receive contractor bids and prepare summary and comparisons for review and approval.
  • Prepare contracts for vendors and contractors.
  • Receive invoices and pay applications, present for review, approval and processing.
  • Maintain contractor and vendor files, obtaining qualifications, information and contracts.
  • Create purchase orders and obtain proper approvals prior to issuing.
  • Create and maintain project reports and schedules as required.
  • Coordinate ship / delivery dates for all owner provided materials with contractor and vendor
  • Maintain multiple project files within project management software system.
  • Receive and review project closeout documents, including lien releases and assist in filing for TI Allowances.
  • Provide project cost and change orders tracking within project management system.
  • Reconcile invoice, pay app and overall cost discrepancies with accounting.
  • Provide administrative assistance, managing calendars, scheduling meetings, preparing expense reports and travel.
  • Establish and maintain positive working relationships with in house personnel, as well as outside vendors and contractors.
  • Analyzes current processes / procedures and makes recommendations for improvements.



  • Minimum 5 years’ experience in construction coordination / administration with demonstrated proficiency  in:
    • In software required to manage processes and procedures.
    • Comprehension of construction drawings and specifications.
    • Overall project management knowledge




  • Working knowledge of MS Office, Excel, Word, Outlook, Project and web-based portfolio & project management platforms
  • Excellent written and verbal communication skills
  • Good organizational skills to include effective time management
  • Exceptional analytical and problem-solving skills
  • Ability to function independently with minimum supervision in a fast-paced environment
  • Logical and common sense decision-making of construction processes a plus.
  • Team oriented person



  • Associates Degree in Construction Management or related industry experience.
